Create Quotations

Create Quotations has been updated to improve quotation management and provide better control over customer details, quotation items, quantities, prices, taxes, and discounts. It also makes it easier to track quotation status, manage sales offers, and maintain accurate and organized records for better follow-up and decision-making.

Find Sales orders 

From the menu SalesSales Orders  , use this option to search Sales Orders, view order details, and create a new Sales Order.

Add New Sales orders

Click Add New Sales Order to create a new Sales Order for a customer and enter the required order details.

Creating Sales Order

  • Select Customer ID from the dropdown list to choose the customer you want to create the Sales Order for.
  • Select CUR to choose the transaction currency, such as USD, EUR, or SAR.
  • Enter XR (Exchange Rate) if the selected currency is different from the company’s main currency.
  • Select the Invoice Date to choose the invoice date and time using the calendar option.
  • Make sure all required fields marked with a red asterisk (*) are completed.
  • Click Create Sales Order to save the order and continue to the next step.

Next Step :

This is a confirmation message from the system.
It asks if you want to create a new Sales Order.

Click Yes to continue.
Click No to cancel.

Sales order

  • Check Order Details to review the customer name, order number, and invoice type.
  • Check Financials to review currency, exchange rate, discount, tax, and total amount.
  • Check Administration & Sales to review salesman, branch, bank, and created by details.
  • Check Logistics & Notes to review shipping terms and any notes.
  • Check Approved to see if the order is approved or still pending.
  • Click Print if you want to print or save a copy of the Sales Order.
  • Update any required information if changes are needed.
  • Click Update Sales Order to save all changes.

Goods 
  • Click Part Code / Part Number to choose the item you want to sell. You can select from the list or use the search icon to find the item.
  • Check Available QTY to see how many pieces are currently in stock.
  • Enter QTY to type the quantity the customer wants to buy.
  • Enter Unit Price to set the price for one item.
  • Enter Discount if you want to give a discount for that item.
  • The system will automatically calculate:
    • Net Amount: Price after discount
    • Tax: Tax amount for the item
    • Gross Amount: Final total for that row
    • Grand Total: Total amount for all items
  • Click + Add Rows if you want to add more items.
  • Click Save to save the entered items.
  • Click Delete if you want to remove an item row.

 Search & Results

Step 1: Set Your Filters

Choose the Warehouse & Bin Location (specific stockroom or shelf).
Select the PO Status (e.g., Invoiced items or other statuses).

Step 2: Enter Your Search Term

Type the product name or Part Code in the search field.
Keep the Search Condition as “Equal” for an exact match.

Step 3: Run the Search

Click the Search button to display matching products at the bottom.

Optional Step:

Click the Reset button to clear all fields and start a new search.

Step 1: Select Your Items

On the right side, you will see checkboxes.
Tick the box next to the item(s) you want to add.
A selected item will show a blue checkmark.

Step 2: Check the Details
Review the item information before adding it:

Part Number: The unique product code
Warehouse & Bin Location: Exact storage location of the item
PO Status: Confirms if the item is ready (e.g., Invoiced)

Step 3:  Add to Order

Click the “Add to Order” button, You can use either button..


Step 4: Navigation (If many items exist)

Selected Items

Step 1: Review and Edit

  • Unit Price: Check the displayed price (e.g., 70,309.08)
  • Discount: Enter a discount amount if you want to reduce the price
  • QTY: Confirm the quantity is correct (e.g., 1)

Step 2: Use Action Buttons
After confirming the details, use the available buttons:

  • Update: Save any changes made to price or discount
  • Unselect: Remove the checkmark from the selected item
  • Delete: Remove the item completely from your selection

Step 3: Export or Exit

  • Export (Blue Dropdown): Download the list as a file
  • Cancel: Close the window without adding the item

Export means taking the data you see on the screen and saving it into an external file (usually an Excel or PDF file or Copy ).

Final Goods 

 Review Item Details

Check the selected product information (Part Number, description, location)
Verify price, quantity, and discount (if any)

Confirm Quantity

Ensure the QTY entered is correct and available in stock

 Final Check

Review total price and tax calculations
Make sure all selected items are correct

Select the Item

  • Click Part Code / Part Number to choose the item
  • You can select it directly from the list

Check Stock

  • View Available QTY to see how many items are in stock

Automatic Calculations

The system will calculate automatically:

  • Net Amount: Price after discount
  • Tax: Tax amount for the item
  • Gross Amount: Final total for the row
  • Grand Total: Total for all items

Manage Rows

  • Click + Add Rows to add more items
  • Click Delete to remove an item row
  • Click Save to store all entered items

Search Sales Orders 

Step 1: Identify what you want to search
Decide what information you have (SO ID, Part Number, date, branch, etc.)


Step 2: Enter basic search info
Type SO ID if you know the order number
Or type QO ID if you are searching from a quotation
Or enter Part Number to find orders with a specific item
Step 3: Apply filters (optional)
Select Branch if you want results from a specific location
Choose Approved status (Approved / Not Approved)
Set Has Job Cards if needed


Step 4: Set sorting options
Choose Order By (example: date or ID)
Select Order Direction (newest first or oldest first)


Step 5: Set date filter (if needed)
Select Date Field (created date or updated date)
Choose Date Condition (between, before, after, equal)
Enter Date & Time From
Enter Date & Time To


Step 6: Limit results
Choose how many results to display (e.g. 50 or 100)


Step 7: Run the search
Click Search to display results
